TCESC Conference CenterRules & Regulations
  1. Rental: Conference rooms are available on a first come, first serve basis. Arrangements should be made a minimum of 14 days prior to the event. The TCESC Conference Center Reservation Form must be on file to constitute official approval of a scheduled event. Verbal Approval or Partial submission of required paperwork does not constitute a secure reservation. 
  2. Billing-Payment: Full payment is due 30 days from the date of the invoice. 
  3. Cancellation:  As required by law, the TCESC reserves the right to cancel a rental agreement in the event the facility is needed for school related purposes on the scheduled date. 
  4. Renter's Responsibilities: Renters may be required to provide a Certificate of Liability Insurance coverage for scheduled events. This may include a requirement that the TCESC Governing Board be included a “named insured” on the renter’s policy. The renter shall be responsible for any/all damages done over and above ordinary wear of property and equipment. Renter agrees to indemnify, defend and hold harmless the TCESC from all costs, expenses resulting from claims, suits, or liability of any kind, including attorney fees, whether in part, contract or otherwise arising or purporting to arise out of the conduct, activity or other transaction involving the renter, its guest, its invitees or other persons on the TCESC premises at the request of the renter or renter’s guests or invitees. This provision of the contract shall survive the renter’s scheduled departure date and time.
  5. Renter Requirement: The TCESC Governing Board (and/or its designee) reserves the right to determine whether any group seeking to use the facilities is a “responsible organization” within the meaning of Ohio law, and to deny access to any group not meeting this requirement. (ORC3313.76)
  6. Accommodations: Meeting rooms are assigned by the guaranteed maximum number of people as indicated on the TCESC Conference Center Reservation Form. Renters may rearrange the furnishings. The room must be reconfigured to its original configuration. (Failure to reconfigure a meeting room is subject to a $50.00 service charge.)
  7. Menus/Guarantees: Menus, audio visual requests, and other specific details pertaining to your function must be submitted to the TCESC at least 10 days prior to the event date. A final guarantee for the number of participants is due no later than 3 days prior to the event. 
  8. Materials: All materials must be removed from the meeting room by the specified time as note on the TCESC Conference Center Reservation Form.
  9. Security: May be required at certain events as determined by the TCESC. If required, security shall be obtained by the TCESC and an hourly fee as determined by the TCESC shall be included paid by the renter. (Security shall be one hour more than the actual event to provide coverage before and after the event.)
  10. Smoke/Drug Free: The use/consumption of tobacco/alcohol/drugs of any kind is strictly prohibited.
